When LifeTRAVELED began searching for a new system to manage their BridgeUSA visa programs, the goal was clear: consolidate a patchwork of platforms into a centralized system that could handle the unique needs of their work. At the time, operations were spread across Dropbox, JotForm, and Excel - making day-to-day tasks like tracking applications, sending follow-ups, and managing check-ins unnecessarily complex for both staff and exchange visitors.That’s when they found Hanover CRM - a system purpose-built for international exchange. With Hanover, LifeTRAVELED saw a way to streamline operations, reduce manual work, and give their team more time to focus on mission-driven priorities like advocacy and cultural programming.
From Scattered Systems to Seamless Setup

Leigh Furzer, led the implementation by taking full responsibility for learning the system, adapting it to LifeTRAVELED’s requirements, and training her colleagues. By centralizing Hanover’s management with one person, LifeTRAVELED ensured the team was not overwhelmed by Hanover’s development and established a consistent standard across all programs.” Rather than migrating everything all at once, LifeTRAVELED took a phased approach to implementation. They started with the Camp Counselor program, which urgently needed a database solution. After testing and refining the system with that program, they expanded to Summer Work and Travel, and are now completing the transition for Intern and Trainee. This deliberate rollout gave the team space to learn, experiment, and gradually adapt their internal processes without overwhelming staff or compromising service quality.

As with any system migration, some long-standing habits had to be reimagined. Processes that had been in place for years didn’t always fit the new platform exactly. That’s where Hanover’s retainer model came in.LifeTRAVELED used retainer hours to customize the system in ways that matched their operations. These enhancements - such as sending monitoring emails on a fixed date each month and building out bulk placement tools - weren’t just nice-to-haves. They saved significant time and allowed staff to work more efficiently without sacrificing program integrity.This model has allowed LifeTRAVELED to preserve what matters most in their workflows while adapting to a more modern, centralized system.
Key Features That Power the Day-to-Day
With Hanover now embedded in their operations, LifeTRAVELED’s team is benefiting from a suite of powerful features. Applications can be saved in progress, monthly check-ins include structured follow-ups, and critical actions like SEVIS validation and DS-2019 changes are automated - reducing staff intervention and minimizing errors.The resource module, initially unexpected, has become an integral part of the visitor experience, allowing the team to house important information in one accessible place. Features like SMS messaging, and automated reference collection have been readily adopted thanks to K.Leigh’s forward-thinking approach.“I’m always looking for ways to improve how we work,” K.Leigh noted. “I’m excited to see each new Hanover development and think about how we can implement it to improve the team’s workflow or the experience for the hosts or exchange visitors.”The platform’s real-time data sharing also improved communication with host organizations. Employers who once relied on weekly email updates can now log in to view live application statuses and placement information. Repetitive tasks - like collecting unchanged vetting information - have been streamlined by auto-saving previous year responses.
Preparing for Growth with a Modern Backbone
“Since implementing Hanover, the team now has more bandwidth to focus on high-impact initiatives. Tasks that once took hours have been reduced to minutes, freeing up time for team members to engage in strategic work, cultural initiatives, and partner support.Looking ahead, LifeTRAVELED plans to continue building within Hanover. The structure is now in place to support future designations, and onboarding new programs will be significantly easier thanks to the solid foundation they’ve built.
